Job Summary
This is an exciting opportunity for someone looking to start or develop a career in logistics and international shipping. As an Ocean Operations Administrator, you’ll provide vital administrative support to the Ocean team while learning the key processes involved in import and export operations.
You’ll work closely with experienced colleagues, gaining exposure to Customs procedures, shipping documentation, and client communication, helping to ensure our customers receive a smooth and professional service.
Key Duties and Responsibilities:
- Provide administrative support to the Ocean team on day-to-day import and export operations.
- Assist with preparing and maintaining shipping and customs documentation.
- Update shipment details and client records accurately in CargoWise (CW1).
- Communicate with customers, suppliers, and agents via email and phone to obtain or share documentation.
- Support with arranging deliveries, releases, and file completion.
- Monitor shipment progress and help track ETAs, escalating any delays or issues to the team.
- Assist with generating invoices and ensuring all paperwork is filed correctly.
- Maintain and update Excel-based customer reports and internal logs.
- Learn and apply key processes relating to HMRC, Port Inventory Systems, and industry procedures under supervision.
- Undertake any other reasonable administrative or operational tasks to support the team
Person Specification:
- Previous office or administrative experience (ideally in logistics or customer service)
- Strong communication skills with a professional telephone and email manner
- Confident using Microsoft Office, especially Excel and Outlook
- Eager to learn about freight forwarding, ocean operations, and customs procedures
- High attention to detail and accuracy
- Organised and proactive, able to manage multiple tasks
- Team player who enjoys supporting others
- Flexible and adaptable in a fast-paced environment
